General Terms and Conditions of BB Event GmbH

1 Scope of Application
1.1 These General Terms and Conditions (“GTC”) apply to all contracts between BB Event GmbH, Zum Schulhof 2, 47053 Duisburg, Germany (hereinafter “BB Event,” “we,” or “us”) and the customer (hereinafter “Customer” or “you”) regarding the purchase of event tickets, exhibitor booth rentals, sponsorship agreements, and related event services.
1.2 By purchasing a ticket, booking an exhibitor space, or entering into a sponsorship agreement, you accept these GTC.
1.3 Deviating terms of the Customer shall not apply unless BB Event has expressly agreed to them in writing.
2 Services
2.1 BB Event GmbH is an internationally active event management company specializing in the planning, organization, and execution of large-scale events, trade fairs, corporate events, conferences, concerts, and cultural and family events.
2.2 Our services include, but are not limited to:
- Large-scale events and festivals (including cultural and seasonal festivals)
- Trade fairs and consumer exhibitions
- Corporate events and conferences
- Stage programs and concert performances
- Exhibition and information stands
- Cultural, family, and leisure events
3 Ticket Purchases
3.1 Ticket Availability: All tickets are subject to availability. BB Event reserves the right to limit the number of tickets per customer.
3.2 Pricing: All ticket prices are listed in Euros (€) and include the applicable statutory value-added tax (VAT/MwSt). Additional fees (e.g., payment processing fees) will be displayed before checkout.
3.3 Purchase Process: A binding contract is formed when the Customer completes the online checkout process and receives an order confirmation by email.
3.4 Ticket Delivery: Tickets are delivered electronically (e-ticket) to the email address provided during purchase, unless otherwise specified. The Customer is responsible for providing a valid email address.
3.5 Ticket Validity: Each ticket is valid only for the specific event, date, and time indicated on the ticket. Tickets are non-transferable unless explicitly permitted by BB Event.
3.6 Admission: BB Event reserves the right to refuse admission to any person who behaves in a disruptive, dangerous, or unlawful manner, or who violates the event’s house rules. No refund will be issued in such cases.
4 Exhibitor Booth Rentals
4.1 Booking: Exhibitor booth spaces are booked through our inquiry form or by direct agreement with BB Event. A booking is confirmed only upon written confirmation from BB Event and receipt of the agreed payment.
4.2 Booth Allocation: BB Event reserves the right to assign or reassign booth locations. Specific location requests will be accommodated where possible but are not guaranteed.
4.3 Setup and Dismantling: Exhibitors must adhere to the setup and dismantling times communicated by BB Event. Early dismantling is not permitted and may result in penalty fees.
4.4 Exhibitor Conduct: Exhibitors must comply with all applicable laws, regulations, and event rules. Products and services displayed must be legal and appropriate for the event’s audience.
4.5 Booth Equipment: Unless otherwise agreed, booth spaces are provided as empty floor space. Additional equipment, furniture, and electrical connections can be arranged through BB Event at additional cost.
5 Sponsorship Agreements
5.1 Sponsorship agreements are subject to individual negotiation and require a separate written sponsorship contract.
5.2 Sponsorship packages may include, but are not limited to: logo placement, stage mentions, exhibition space, digital advertising, and social media features.
5.3 The specific deliverables, pricing, and payment terms for sponsorships are defined in the individual sponsorship contract.
6 Payment Terms
6.1 Accepted Payment Methods: We accept payment by credit card (Visa, Mastercard), debit card, SEPA bank transfer, and other payment methods as displayed during checkout.
6.2 Payment Processing: Online payments are processed securely through our authorized payment service providers, including Stripe. Your payment data is transmitted using industry-standard encryption.
6.3 Due Date: Payment for tickets is due immediately at the time of purchase. Payment for exhibitor spaces and sponsorships is due according to the terms specified in the respective agreement or invoice.
6.4 Late Payment: In case of late payment, BB Event reserves the right to charge default interest in accordance with 288 BGB (German Civil Code) and to cancel the booking or agreement.
6.5 Currency: All prices are quoted in Euros (€). For international customers, the actual amount charged may vary depending on your bank’s exchange rate.
7 Cancellation and Refund Policy
7.1 Ticket Cancellations by Customer:
- Cancellations made more than 30 days before the event: Full refund minus a processing fee of €5.00 per ticket.
- Cancellations made 15–30 days before the event: 50% refund.
- Cancellations made less than 15 days before the event: No refund.
- All cancellation requests must be submitted in writing to info@bbevent.nrw.
7.2 Right of Withdrawal (Widerrufsrecht): In accordance with 312g Abs. 2 Nr. 9 BGB, the statutory right of withdrawal does not apply to contracts for leisure events if the contract specifies a specific date or period of performance. Therefore, ticket purchases for events with a fixed date are excluded from the 14-day right of withdrawal.
7.3 Exhibitor Cancellations:
- Cancellations more than 60 days before the event: Full refund minus 20% administrative fee.
- Cancellations 30–60 days before the event: 50% refund.
- Cancellations less than 30 days before the event: No refund.
7.4 Event Cancellation by BB Event: If BB Event cancels an event, all ticket holders and exhibitors will receive a full refund of the amount paid. BB Event is not liable for any additional costs incurred by the Customer (e.g., travel, accommodation).
7.5 Event Postponement: If an event is postponed, tickets remain valid for the new date. Customers who cannot attend the new date may request a refund within 14 days of the postponement announcement.
7.6 Event Modification: BB Event reserves the right to make reasonable changes to event programs, performers, schedules, and venues. Such changes do not entitle the Customer to a refund unless the event is fundamentally altered.
7.7 Force Majeure: BB Event shall not be liable for cancellations or modifications caused by force majeure, including but not limited to natural disasters, pandemics, government orders, strikes, or other circumstances beyond BB Event’s reasonable control.
8 Liability
8.1 BB Event is liable for damages only in cases of intent or gross negligence, or in cases of injury to life, body, or health.
8.2 In cases of slight negligence, BB Event is liable only for breaches of essential contractual obligations (cardinal obligations), and liability is limited to foreseeable, typically occurring damages.
8.3 BB Event is not liable for any loss, theft, or damage to personal property brought to the event venue by attendees or exhibitors.
8.4 The Customer is responsible for obtaining adequate insurance coverage for their participation as an exhibitor, including liability insurance.
8.5 BB Event’s total liability for any single event shall not exceed the amount paid by the Customer for that event.
9 Intellectual Property and Image Rights
9.1 BB Event reserves the right to photograph and record video at all events for promotional and marketing purposes.
9.2 By attending a BB Event event, the Customer consents to being photographed or filmed and to the use of such images for BB Event’s marketing purposes.
9.3 All content, logos, branding, and materials created by BB Event remain the intellectual property of BB Event GmbH.
10 Data Protection
10.1 BB Event processes personal data in accordance with the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG).

11 Governing Law and Jurisdiction
11.1 These GTC are governed by the laws of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods (CISG).
11.2 The place of jurisdiction for all disputes arising from or in connection with these GTC is Duisburg, Germany, provided the Customer is a merchant, a legal entity under public law, or a special fund under public law.
11.3 For consumers within the EU, the European Commission provides an online dispute resolution platform at https://ec.europa.eu/consumers/odr. BB Event is not obligated and not willing to participate in dispute resolution proceedings before a consumer arbitration board.
12 Severability
12.1 Should any provision of these GTC be or become invalid or unenforceable, the remaining provisions shall remain in full force and effect. The invalid provision shall be replaced by a valid provision that most closely reflects the economic purpose of the invalid provision.
13 Amendments
13.1 BB Event reserves the right to amend these GTC at any time. The amended GTC will be published on our website. Continued use of our services constitutes acceptance of the amended GTC.
